Case Manager Guide: Assigning a Deal to a Partner via Portal Viewer

Goal
Assign a deal to a partner (e.g. TravelForMed) so that the partner can see the deal in the Supplier Portal and respond by adding notes and uploading documents.
Important: The partner can view deal information, but cannot edit deal fields. They only have permission to add notes and upload files.



Step-by-Step for Case Managers

  1. Open the specific Deal
    In Zoho CRM, open the exact deal that should be handled by the partner
    (e.g. “Cancer Treatment Germany – Mohammed Blal”).

  2. Complete the deal information
    Before involving the partner, make sure the deal is properly filled, for example:

    • Patient details

    • Medical request / treatment plan

    • Key notes and internal comments

    • Any important documents already available

    The partner should understand the case by looking at the deal in read-only mode.

  3. Select the portal user in the “Portal Viewer” section
    Scroll down to the “Portal Viewer” block (under Contact Person in the deal layout).

    • In Portal Viewer → Contact Name, select the contact who is the portal user for this partner
      (e.g. the TravelForMed contact, Efe Altuncu).

    • Make sure that this contact:

      • is set up as a portal user, and

      • has the correct email address in the Contact record.




    👉 The contact chosen in Portal Viewer → Contact Name is the person who will see this deal in the Supplier Portal and can add notes / upload documents.

  4. Inform the partner about the new deal (temporarily manual)
    As of 29.11.2025, there is no automatic notification when you assign a Portal Viewer.
    For now, please notify the partner manually, for example:

    Automation for this notification will be added later.


What the Partner Can Do in the Portal

In the Supplier Portal, the portal user selected in Portal Viewer can:

  • ✅ See the assigned deal and all deal information (read-only)

  • ✅ Add notes to the deal

  • ✅ Upload documents (quotes, treatment plans, cost breakdowns, etc.)

  • ❌ Not edit deal fields (stage, amount, patient data, etc.)


Questions or Issues

If something is unclear or not working:

  • Add a comment directly on the deal (e.g. tag @IT), or

  • Ping one of your IT colleagues in the internal chat.
